Stallholders – Please read the following information carefully.

The Christmas Fair is a family-oriented event that promotes the vibrant artisans of the Cowaramup and wider community, to locals and visitors to Cowaramup. Proceeds from the Stallholder fee for the Christmas Fair are held by the Cowaramup Retailers Association and donated toward community projects in our town.

Coordinated by the Cowaramup Retailers Association, the Christmas Fair organising committee encourages a broad variety of stalls in support of local crafters, artists and producers from Cowaramup and surrounding areas.  Stalls will be considered and granted on the basis that they are a Cowaramup based business, or south-west-based business, artist or producer, and/or have a suitable match with our existing businesses. If two similar stalls apply and are accepted, at the organiser’s discretion, we will endeavour to place them appropriately so as not to be located too close together.

Applications requiring alcohol licences will not be considered. For 2019 Fair, we unfortunately have limited powered sites in the Park and we support local community groups by only accepting Community  take-away food or drink producers. Decision of the selection of stallholders made by the organisers will be final. Organisers reserve the right to decide the final location of your stall on the day and will do our best to accommodate any special requirements by prior arrangement.

Cancellations are preferred at least seven days prior to the event. Sorry – no refunds.

This form is only an APPLICATION. We will confirm with you via email by the end of November 2nd 2019 if you have secured a stall or not.
  • Cost $40 - payable by direct debit upon of advice of acceptance of your application. Please advise if you would like more than one stall.
  • Sorry for the inconvenience but this year due to location limitations - No powered stalls available - No generators please - No takeaway food or drink operators
  • To determine overall product mix and positioning of stalls, please outline what you are selling and are they hand made or imported?
  • Takeaway food and drink stalls are not allowed this year sorry, however if your stall offers items such as preserves or chocolates please upload your Shire approved food licence in the form below. Should you have any concerns or queries, please contact the organisers.

  • Terms and Conditions
    1. Public Liability Insurance: Fair Insurance includes insurance for stallholders (subject to the terms and conditions of the policy). There is no insurance cover for stallholders in respect to sale of products, food and drinks. Fair Insurance excludes any cover for operators of rides and amusements. For operators of rides and amusements it is mandatory that you provide evidence of your Public Liability Insurance and the amount of the cover requested is $10,000,000.  Ride and Amusement Operators: A copy of your policy (or a certificate of currency) is to be enclosed with this application. Food Vendors & Sale of Goods: The Fair Insurance does not cover your liability arising from goods sold. For your own protection it is recommended you arrange appropriate insurance.
    2. Stall holders agree to participate in the Cowaramup Christmas Fair at their own risk and are required to indemnify and hold harmless the management group – the Cowaramup Retailers Association Inc against any claim for damages, costs, claims, expenses and liabilities (including without limitations consequential loss and loss of profits) in respect of any loss, damage, injury, disease or death caused through any of the stallholders activities at the Cowaramup Christmas Fair.
    3. Cowaramup Christmas Fair hours are from 9.00am to 1.00pm on Sunday 17th November 2019.
    4. Stallholders shall be set up and ready to commence trading at 8.30am. Early trading is not permitted. Support vehicles are to be removed to the designated parking areas by 8.00am.
    5. STALLS ARE NOT TO BE REMOVED BEFORE 1PM. Stallholders will be required to operate between the hours of 9.00am until 1.00pm. It is expected that all stallholders will have enough supplies to operate throughout this period.
    6. Stall fees will not be refunded should inclement weather, or factors beyond the control of the Cowaramup Christmas Fair organising committee affect the event.
    7. No refunds will be given for cancellations of bookings made within seven days prior to the Fair.
    8. For safety reasons, no stall will be permitted to sell cap guns or toys with any firing ability.
    9. Cowaramup Christmas Fair committee reserves the right to refuse any applicant to maintain the spirit of a country fair or change stall locations without notice.
    10. Food Vendors must have a current Itinerant Food Vendors Licence and a copy must be sent to organisers once your stall is confirmed. This Licence will be forwarded to the Shire of Augusta Margaret River for approval.
    11. Registered Food Vendors must have a current Itinerant Food Vendors Licence. Temporary Food Stalls – must comply with Shire of August Margaret River’s requirements. Please contact the Shire on 9780 5255 for clarification.
    12. Stallholders are to provide their own tables, chairs and weather protection (shades, tents etc). Spikes / tent pegs may not be driven into the ground. Stallholders must provide their own weights or methods of securing shelters. Stallholders are responsible for the erection and dismantling of their own shades.
    13. All stalls that intend to use a powered site shall ensure all power leads and electrical appliances you will use on the day must have been tested and tagged by a licensed electrical worker within the last 12 months. The tags must be visible, legible, have accompanying paperwork and attached to the electrical item prior to the Fair. Fair inspectors will conduct visual electrical checks on the day.
    14. ALL PAYMENTS ARE TO BE MADE BEFORE A STALL NUMBER IS ALLOCATED. THERE WILL BE NO EXCEPTIONS. Market Stalls $40.00 4x3m max bay only. All expressions of interest forms will be considered, and notified as to the result of their application. Please do not send any money now, we will notify you as soon as your application is successful.
